AI Receptionist for Small Business: Costs and Options (2026)

By the NexaCraft Digital team ·

Short answer: An AI receptionist is an AI voice agent that answers your business phone 24/7. It can answer common questions, take messages, capture leads and, on higher tiers, book appointments. Based on published pricing pages we checked in October 2026, self-serve AI receptionist tools start at roughly $29 to $150 a month, with extra charges per minute or per call. Human answering services typically start around $250 to $300 a month for 30 to 50 calls or minutes. Done-for-you AI setups add a one-time setup fee. At NexaCraft Digital, Voice Starter is $249 setup (paid with the first month) plus $199 a month, month-to-month, for 300 minutes, and Founding Clients pay $199 for setup. For founding AI setups, monthly fees stay at full price, with a 3-month minimum on the monthly plan; if you cancel earlier, you repay the $50 setup discount. Repayments are flat amounts, charged only after 7 days’ email notice.

What an AI receptionist does (and doesn't do)

A good AI receptionist picks up on the first ring, day or night, greets callers in your business's name and handles the calls that follow a pattern. Typical jobs include:

  • Answering questions about your hours, service area, services and starting prices, using information you approve.
  • Taking a message and texting or emailing a summary to your team.
  • Capturing the caller's name, number and what they need, so no lead is lost after hours.
  • Booking or rescheduling appointments on your calendar (usually on mid-tier plans and above).
  • Transferring urgent calls to a person, or taking a callback request, using rules you set.

What it shouldn't do: make promises you haven't approved, quote prices it hasn't been given, give legal or medical advice, or pretend to be human. A well-built agent tells callers honestly that it's an AI assistant when asked, and it hands off anything sensitive.

Many businesses mix these options. For example, an AI agent can answer after hours and overflow calls, while staff take calls during the day.

What drives the cost of an AI receptionist

  • How usage is billed. Vendors bill by minutes, by calls, or by unique callers. A business with long calls pays more on per-minute plans; a business with many short calls pays more on per-call plans.
  • Included allowance and overage rates. Compare what happens in your busiest month, not your average one. Published overage rates we saw ranged from about $0.35 to $0.50 per minute on AI plans, and several dollars per call or minute on human services.
  • Booking and integrations. Calendar booking, CRM sync and Zapier connections are often limited to higher tiers.
  • Languages. English-only plans usually cost less than bilingual or multilingual ones.
  • Number of lines or locations. Multiple numbers, locations or outbound callbacks add cost.
  • Setup work. Someone has to write the greeting, load your services, prices and FAQs, set the handoff rules and test the agent. You either do it yourself or pay for it once.

How to estimate the minutes you need

Use this simple formula: calls per day × average call length in minutes × 30 days. Your phone carrier's call log or your current answering service's report will give you real numbers.

Two hypothetical examples:

  • A solo contractor who gets 5 calls a day averaging 2 minutes needs about 5 × 2 × 30 = 300 minutes a month.
  • A busy clinic front desk that sends 12 calls a day to the AI, averaging 2 minutes each, needs about 12 × 2 × 30 = 720 minutes a month.

If the agent only covers nights, weekends and overflow, count just those calls. Many businesses find this is a fraction of their total call volume.

Rules to know before you switch on an AI receptionist

This isn't legal advice, but these are the rules we raise with every client:

  • Call recording consent. California and several other states require the consent of everyone on a call before it's recorded. If your agent records calls, add a short recording notice to the greeting.
  • Outbound AI calls. In 2024 the FCC ruled that AI-generated voices count as "artificial" voices under the Telephone Consumer Protection Act. Automated outbound calls with an AI voice generally need the recipient's prior express consent. Inbound answering isn't affected in the same way.
  • Be honest that it's AI. Our agents say they are AI assistants when asked. It's the right thing to do, and it builds trust.
  • Sensitive information. Healthcare, legal and financial businesses should keep the AI to scheduling and general questions, and route sensitive details to systems built for them.

Questions to ask any AI receptionist provider

  1. How is usage billed (minutes, calls or callers), and what are the overage rates?
  2. Can it book directly into my calendar, or does it only send a booking link?
  3. How does it hand off urgent calls or callers who ask for a person?
  4. Can I hear it, and test it on my own number, before it goes live?
  5. Who updates the agent when my prices, hours or services change?
  6. Where are recordings and transcripts stored, and who can access them?
  7. Is there a contract or minimum term? What happens to my phone number if I leave?

Frequently asked questions

How much does an AI receptionist cost for a small business?

Based on published pricing pages in October 2026, self-serve AI receptionist tools start at roughly $29 to $150 a month plus overages, while done-for-you setups add a one-time setup fee. NexaCraft Digital's Voice Starter is $249 setup (paid with the first month) plus $199 a month, month-to-month, for 300 minutes, or $199 setup for Founding Clients through January 17, 2027. For founding AI setups, monthly fees stay at full price, with a 3-month minimum on the monthly plan; if you cancel earlier, you repay the $50 setup discount. Repayments are flat amounts, charged only after 7 days’ email notice.

Is an AI receptionist cheaper than a human answering service?

Usually, for routine calls. Human answering services typically start around $250 to $300 a month for 30 to 50 calls or minutes, with overages of several dollars per call or minute. A person is still better for complex or emotional calls, so many businesses combine both.

Can an AI receptionist book appointments?

Yes, on most mid-tier plans. At NexaCraft Digital, calendar booking is included from the Voice Business plan, along with CRM integration and English and Spanish.

Will callers know they are talking to AI?

They should. Our agents use natural voices and say honestly that they are AI assistants when asked, and they hand off to your team or take a message when needed.

Is it legal to record calls with an AI receptionist in California?

California generally requires the consent of everyone on a call before it is recorded, so add a recording notice to the greeting. This isn't legal advice; check with your attorney for your situation.

How many minutes will I need?

Multiply calls per day by average call length in minutes by 30. For example, 5 calls a day at 2 minutes each is about 300 minutes a month. If the AI only covers after-hours and overflow calls, count just those.

Can I hear an example first?

Yes. Call Ava, NexaCraft Digital's own AI voice assistant, at (510) 370-9855, any time.
